Key Areas of Responsibility

  • Answer office phone and route all incoming calls;
  • Greet all clients and guests at reception;
  • Maintain inventory of office & kitchen supplies;
  • Distribution of all mail;
  • Process outgoing couriers;
  • Booking travel and accommodations for Ottawa staff;
  • Coordinate room bookings and catering for special events or meetings;
  • Assist the A/P and A/R clerk with light data-entry and other administrative tasks;
  • Assist in some repetitive office duties; and
  • Other duties as required.


We’re flexible but these are a must:

  • Two years of experience in the financial industry;
  • Knowledge of office administration and procedures;
  • Basic knowledge of accounting systems, budgets, and internal controls;
  • Meticulous with detail;
  • Demonstrated time management skills;
  • Ability to prioritize and manage conflicting demands;
  • High level of integrity and excellent work ethic;
  • Confidentiality concerning financial information;
  • Excellent interpersonal and team building skills;
  • Computer skills including Excel and other Microsoft applications;
  • Strong, polished, professional communication skills – “people person”; and
  • Team player with high energy, positive, “customer” friendly attitude.


  • Diploma in office administration or a related field considered an asset.
